We are looking for a Personal Assistant cum Office Manager role to ensure the efficient functioning of the Key Executive Officer (KEO) of the company. Additional role includes overseeing various administrative tasks and managing office resources. This position is pivotal for maintaining a productive and organized workplace, enabling the KEO to perform his daily functions effectively.
Job Scope and Responsibilities
Administrative Management
- Oversee and coordinate office administrative procedures and review,
evaluate, and implement new procedures.
- Establish work priorities and ensure deadlines are met and procedures
are followed.
- Manage office supplies inventory
- Manage KEO day-to-day administrative including invoicing and booking
Support and Coordination
- Manage KEO’s schedule, appointments, meetings and travel
arrangements
- Coordinate project timeline, communication and updates among
stakeholders
- Provide administrative support to senior management and other staff.
- Schedule and coordinate meetings, appointments, for managers or
supervisors.
- Prepare and edit correspondence, reports, memos, forms, and
presentations.
- Coordinate KEO with clients, internal agency staffs, external parties on
meetings, agendas and booking arrangements
- Handle incoming and outgoing communications, including phone calls,
emails, and mails
- Assist KEO with the preparation of proposal, pitching and presentation
deck.
Records and Documentation
- Maintain office files and records, ensuring they are up-to-date and
properly managed.
- Develop and maintain a filing system.
- Ensure data integrity and confidentiality.
