What you will be doing:
- Issue quotations to the Client for rectification/repair works in common areas and tenant units, including minor building repairs.
- Follow up with contractors on quotations, pricing, and scheduling of rectification works.
- Update the Client on work completions, including system updates.
- Conduct daily inspections to ensure general cleanliness of the premises and follow up with the cleaning team on findings.
- Inspect and assist in managing soft services such as pest control, cleaning, and landscaping.
- Conduct vacant unit inspections and prepare reports, including monthly occupancy rate reports for submission to the Client.
- Prepare tenancy documents such as Key Collection, Key Return, and Pre-Termination Inspection forms for submission to the Client and tenants.
- Conduct and attend unit handovers and takeovers with incoming or outgoing tenants.
- Attend pre-termination inspections and advise tenants on reinstatement guidelines in accordance with Client requirements.
- Assist and follow up on unit terminations and reinstatement works.
- Ensure all reinstatement and renovation works comply with tenancy agreements and contract requirements.
- Assist with tenant unit viewings (e.g., unlocking and locking units).
- Liaise with Client representatives on tenancy-related matters and provide updates (e.g., tenant disputes, tenancy, and space issues).
- Maintain and update tenancy records and tenant contact lists.
- Respond to tenant emails regarding complaints, feedback, renovation/fit-out guidelines, and permit-to-work requests.
- Send circular emails to tenants regarding notices and announcements.
- Prepare incident reports and follow up until closure.
- Compile service reports and prepare weekly/monthly reports for the Client.
- Familiarity with CMMS and PROMPT systems.
- Perform any other duties as assigned, including covering other sites on an ad hoc basis.
You are:
- Minimum NITEC/Higher NITEC in Facilities Management, Building Services, Property Management, or any other relevant discipline.
- At least 3 years of relevant experience in facilities or property management, preferably in an industrial or commercial setting.
- Familiarity with building maintenance, soft services (e.g., cleaning, pest control, landscaping), and tenancy management.
